Example Prompts for Your AI Assistant

You don't need special commands. Ask the way you'd ask a capable colleague who has your CRM open. Here are requests that work well, grouped by what you're trying to do.

Finding people

  • "Find Sarah Chen in ContactDrive."
  • "Who's tagged Volunteer and lives in Colorado?"
  • "Show me every contact I haven't been in touch with in the last 90 days."
  • "Which board members don't have a phone number on file?"
  • "How many contacts do we have in each state?"

Before a call or meeting

  • "I'm meeting David Ortiz tomorrow. Brief me: what did we last talk about, how long has it been, and who does he know that I know?"
  • "Pull up everything we have on the Hendersons."

Recording what happened

  • "Log a call with Maria Lopez this morning. She's in for the gala and wants two tickets."
  • "Add a note to James Park: he's moving to Austin in March."
  • "Update Priya Shah's email to priya@newcompany.com."
  • "Add Tom Reed, tom@example.com, 555-0142, and tag him Prospect."
  • "Tom Reed works at Acme Corp, so link them as employee and employer."

Questions about your data

  • "How many donations did we log in August, broken down by campaign?"
  • "How many calls did we log each month this year?"
  • "What share of our contacts have an email address?"

Answers like these are calculated on the spot. Nothing is saved to your workspace to produce them.

Acting on a group

  • "Find everyone tagged Lapsed Donor in Ohio and create a Connect session called 'Ohio win-back' assigned to me."
  • "Make a list called 'Gala 2026 invitees' from contacts tagged VIP."
  • "Create a follow-up task for each person I spoke with this week, due next Monday."

Tasks

  • "What's on my task list this week?"
  • "Snooze the Henderson follow-up to next week."
  • "Mark the task 'Send the proposal to Acme' as done."

Drafting

  • "Draft an email campaign announcing our spring open house, using our newsletter template."
  • "Here's a sketch of the dashboard I want: contacts added per month, donations by campaign, and open tasks by owner. Build it as a draft."

Setting up your workspace

  • "We track boat names and hull numbers for each member. Add custom fields for those."
  • "Add an activity type called Site Visit."
  • "Add a tag called 2026 Sponsor."

Built-in workflows

ContactDrive also gives your assistant four ready-made workflows. In assistants that support them, such as Claude, they appear alongside your ContactDrive connector in the chat's attachment (**+**) menu. Pick one and fill in the blank.

A workflow only appears if your connection has the permissions it needs. For example, Log a conversation needs activity and contact write access.

Tips for good results

  • Name the workspace if your connection covers more than one.
  • Be specific about time. "Since June 1" beats "recently."
  • Confirm before big changes. For anything that touches many records, ask the assistant to tell you what it will do first, then say go.
  • Ask for the total. When you want to know how many people match, say so. The assistant sees a sample of the matches, but ContactDrive reports the full count.
  • When there's more than one match, a good assistant will ask which person you mean. Answer it rather than letting it guess.
