What an AI Assistant Can Do in ContactDrive

This article covers what a connected assistant can do in ContactDrive's core areas, and which consent-screen permission each ability needs. For Connect, Email Marketing, Dashboard, Tasks, and Lists, see Using ContactDrive Apps Through Your AI Assistant.

The assistant only sees the abilities your connection allows. If you connected at Read, or unticked a permission, the matching abilities don't appear, so the assistant won't offer to do things it can't.

Contacts

Permissions: Read your contacts, including their emails and phone numbers and Create and update contacts.

  • Search by name, email, phone, or external ID.
  • Filter on any field, including tags, custom fields, location, and last-contacted date, and report how many contacts match in total.
  • Count and break down contacts, for example by state, by tag, or by a custom field. This produces a figure and saves nothing to your workspace.
  • Open a contact's full record.
  • Create a contact. ContactDrive checks for an existing match first, using email, phone, or external ID but never name alone. If it finds one, it updates that contact instead of creating a duplicate.
  • Update fields on an existing contact.

In Claude and ChatGPT, search results can appear as an interactive table, and a single contact as a card, inside the chat.

Activity

Permissions: Read activity history and Log activity.

  • List a contact's history, or activity of a particular type.
  • Count and break down activity, for example logged calls per month, or donations by campaign, over any date range. Nothing is saved to your workspace.
  • Log a call, meeting, email, note, or any activity type your workspace uses.

Logging an activity also creates or updates the contact it belongs to, so it needs both activity and contact write permission. The assistant attaches the activity to the contact it found, so it won't create a second copy of someone.

Dates in counts are whole days in UTC. "Between August 1 and August 31" includes both of those days.

Relationships

Permissions: Read relationships between contacts and Create, update, and delete relationships between contacts.

  • See who a contact is connected to and how, for example spouse, employer, or colleague.
  • Link two contacts with a relationship type from your workspace.
  • Change a relationship's type or direction.
  • Remove a relationship. The two contacts themselves are untouched.

Workspace setup

Permissions: Read workspace metadata (custom fields, activity types, tags) and Add and edit custom fields, activity types, tags, and relationship types.

  • Read which custom fields, activity types, tags, and relationship types exist. The assistant does this before filtering, so it uses your real field names.
  • Add a custom field (on contacts or on activity), an activity type, a tag, or a relationship type.
  • Edit a custom field's name, help text, grouping, or options; an activity type's name, verb, help text, or icon; or a relationship type's labels.

It can never delete any of these. Deleting a custom field erases the values stored in it on every contact, so that stays a deliberate step in Settings. It also can't rename a tag, or change a field's type. To change a field's type, create the new field and remove the old one yourself.

What no connection can do

Whatever you approve, a connection can't delete contacts, import or export, send or schedule email, publish dashboards, spend credits, or manage billing, users, or roles. It never sees the emails and phone numbers of contacts flagged as protected. And it can never do anything your own role in the workspace doesn't allow.
