Inviting and Managing Users
ContactDrive doesn't charge per user, so invite the whole team. A contact database that only one person can see isn't doing much for anybody.
Inviting someone
- Go to Settings > Users.
- Click Invite a user.
- Enter their email address and choose the role they should have — Admin, User, or any custom role you've built.
- Send it.
They'll get an email invitation. Note that invitation links stay good for 24 hours, rather than the 15 minutes a normal sign-in code gets, because invitations tend to sit in an inbox for a while.
Reading the user list
Each person on the list carries their status, and two of the badges are worth knowing:
- Unverified — they've been invited but haven't completed sign-in yet.
- Never signed in — the account exists but has never actually been used.
Both are your cue to nudge someone, or to resend.
Invitation actions
From the actions on each row you can:
- Resend invitation — sends a fresh email with a new link. Use this when the old one has expired.
- Copy invite link — grabs the link so you can send it yourself over Slack or text, which is often faster than waiting on email filters.
- Remove Access — revokes the person's access to this workspace.
Removing someone
Remove Access takes a user out of this workspace. It does not delete their ContactDrive account — if they're in other workspaces, they keep those.
Removing a user does not remove the contacts, activities, or notes they created. That history stays where it is, which is what you want when somebody leaves.
One thing to check before someone departs: API keys are owned by the workspace, not by the person who created them. A key an offboarded admin created keeps working after they're gone. That's deliberate — it means integrations don't break when staff change — but it does mean removing a user is not the same as revoking their integrations. If you need those shut off, go to API Keys and delete or re-scope the key itself.
