How to change your default mail, phone, and texting apps

To get the most out of ContactDrive, you want your device to work as hard as you do. Setting your preferred communication tools as "defaults" ensures that when you click a phone number or email address in ContactDrive, the right app opens immediately, saving you from having to copy and paste details.

Whether you’re moving from Apple Mail to Gmail, or preparing to use an integration like Zoom Phone, here is how to take control of your device defaults.

As of 2026, both Apple and Google have standardized the management of default applications into a centralized menu. This makes it easier for you to ensure ContactDrive triggers your preferred communication tools every time you tap a contact.

Here are the current, verified instructions for iOS 19 and Android 16.

iPhone (iOS 18.2+)

Apple has introduced a major shift in how defaults are handled. You can now set third-party apps for not just email and browsing, but also for system-wide Calling and Messaging.

Set Default Apps (Mail, Phone, & Messaging)

  1. Open the Settings app.
  2. Scroll to the bottom and tap Apps.
  3. Tap Default Apps at the top of the list.

Select the category you wish to change:

    • Email: Choose your preferred mail client (e.g., Gmail, Outlook, Spark).
    • Calling: Choose a VOIP service like Zoom Phone or Google Voice to handle outgoing calls instead of the native Phone app.
    • Messaging: Select a third-party app to be your default for sending and receiving instant messages, as well as SMS and RCS.
  4. Select your desired app from the list.

Android (Android 15 & 16)

Android continues to provide deep flexibility through a similar path. Note that as of July 2026, some older stock apps (like Samsung Messages) have been discontinued in favor of Google Messages.

Set Default Apps (General Path)

  1. Open Settings.
  2. Tap on Apps.
  3. Tap Default apps.

    Update your preferred communication categories:

    • Phone app: Change this if you use specialized dialers like Zoom Phone or professional VOIP tools.
    • SMS app: Choose your preferred texting platform (e.g., Google Messages).
    • Digital assistant: Select the AI or voice assistant you use to initiate hands-free ContactDrive commands.

Why This Matters for ContactDrive

Setting these defaults at the system level is the most effective way to streamline your CRM workflow:

  • Eliminate Extra Steps: Click a contact's number in the ContactDrive mobile app, and your preferred dialer (standard or VOIP) triggers immediately.
  • Accurate Activity Logging: By using a verified system default, ContactDrive can more reliably track the "interaction start" event, ensuring your activity history remains precise.
  • VOIP Integration: If your team uses services like Zoom Phone, setting it as the "Calling" default ensures that all tap-to-call actions use your professional line rather than your personal cell number.

Pro-Tip: If a specific app isn't appearing in the "Default Apps" list, it may need to be updated. Open the App Store or Google Play Store and ensure you are running the latest version, as developers must explicitly opt-in to support these system-wide default settings!
