Inbound Email
BCC or forward any email to your workspace's inbound address, and it gets logged as an activity on the matching contacts' timelines. It's the quickest way to capture correspondence without connecting a whole mailbox.
Setting it up
- Go to Settings > Inbound Email.
- Click Generate inbound address.
- Copy the address.
- Add it as a BCC on the messages you want logged — or set up a forwarding rule in your mail client.
That's the whole setup. Any mail that reaches that address is matched against your contacts by email address and lands on their timeline.
Create contacts from recipients
There's one toggle worth a decision: Create contacts from recipients.
- On — recipients who don't match an existing contact are created automatically. Good when correspondence is how you meet people, and you'd rather have the record than not.
- Off — mail is logged only against contacts who already exist. Good when your contact list is curated and you don't want it filling up with everyone you've ever been on a thread with.
Who can use it
Only members of your workspace can log mail this way. Someone outside the team can't create activity in your workspace by emailing the address — which is the reason we don't mind you putting the address in a forwarding rule.
Regenerating and deactivating
Regenerate issues a new address, and the current one stops working immediately. Mail sent to the old address is no longer logged — so update any saved BCC entries or forwarding rules before, not after.
Deactivate turns the address off entirely. Mail to it stops being logged, and you can generate a fresh one later if you change your mind.
Regenerate is what you want if the address has been shared somewhere it shouldn't have been.
